Stop guessing
what tonight
looks like.
You already know how last Saturday went. BeThere tells you how next Saturday is shaping up — who is in the room right now, how many people have already committed to each upcoming night, and who came back. Then it hands you the levers: perks at the door, a push to everyone who visited last month, and a coin economy that already pays your regulars to return.
No hardware to buy. No POS integration. A QR code at the door and the phones your team already carries.
Your best night was planned on a group chat you were never in.
The night out is organised somewhere you can't see — Instagram DMs, WhatsApp groups, a message at 9pm that decides where forty people go at midnight. By the time that decision reaches your door it is already made. BeThere is where it gets made.
You find out too late
Footfall data arrives after the shift, when it can only explain the night — never change it.
Your regulars are anonymous
You recognise faces, not patterns. Nobody can tell you what share of last month came back.
Feedback is a star, months late
A review site tells you a stranger gave you three stars in March. It never tells you why, or on which night.
Who is already out there.
Counted out of the app once a day, not rounded up for a pitch deck.
Bars, clubs and beach bars where guests have checked in on BeThere
Metro areas with venues on the map
Guests who walked in and joined the room
The commitments your demand forecast is built from
Updated
Everything the room is telling you, in one place.
Your team opens it inside the BeThere app — the same app your guests use. Nothing to install on a back-office machine.
Live crowd
How many people are checked in right now, updating through the night. Know when the room turned before the queue tells you.
Demand forecast
Guests pin the venue they're heading to up to 90 days out. You see the running count for every upcoming night — so you staff and stock against a number, not a hunch.
Return rate
Unique visitors over 30 days and the share who came back. The single number that tells you whether a night is building a crowd or renting one.
Who your crowd is
Nightly visitor curve, age brackets and gender split across the last 30 days — aggregate, never a list of individuals.
Reviews you can answer
Ratings and vibe tags from guests who actually checked in that night — and a reply box, so the answer appears under the review.
Perks that pull people in
Quick entrance, a free drink, VIP access, or something only you would offer. Priced in coins or given away, capped per night, claimed in the app and scanned at your door. The full menu →
Push straight to their phone
A quiet Tuesday, a cancelled headliner, a table free at midnight — one push reaches everyone who checked in over the last 1–30 days. You see the recipient count before you send, and every message is screened, so the channel stays worth opening.
Digital tips for your team
Guests tip the bar in coins, straight from their phone. Each staff member sees their own tips for tonight and all-time — a real reason for your team to keep the QR busy.
Role-based access
Staff see their tips and the door tools. Managers add live crowd, reviews and analytics. Only owners touch the passes. Nobody sees more than their job needs.
Put something on the door worth walking towards.
Every venue already gives things away — a name on the list, a shot for the regulars, the rope lifted for the right group. BeThere just makes it something a guest can see, claim and show up for, and makes it a number you can count afterwards.
Quick entrance
Skip the queue. The perk people will actually spend on, because the queue is the one part of the night nobody has ever enjoyed — and a visible fast lane makes the queue itself look worth joining.
Free entry
Drop the cover for a set number of people on a set night. The cheapest way to fill a soft Thursday, and unlike a guest list it stops at the number you chose.
A free drink
A shot on the house, claimed in the app and redeemed at the bar. It gets people to the bar early, and a guest at the bar at 23:30 is a guest still there at 01:00.
VIP access — or anything you invent
A table in the back, the roof terrace, early entry to the DJ set, two-for-one before midnight, the birthday booth. Write your own title and description, set your own price, and it appears on your venue's page like any other perk.
You set the terms. Each perk is priced in coins or given away free, and can be capped per night — twenty priority entries and no more — so a good offer never turns into a problem at the door. The dashboard shows how many sold tonight and how many are left, and only owners can create or retire a perk.
Your regulars are already being paid to come back.
BeThere runs on coins. Guests earn them for the things you want them doing anyway — going out, trying a new room, coming back the next night, reviewing where they went — and the only things worth spending them on are perks at a venue and drinks for the people around them. Nobody has to build a stamp card.
What a guest earns coins for
Trying a venue for the first time
Paid on the first check-in at a room they have never been to. This is a discovery subsidy, and it points at you.
Two nights in a row
A streak bonus for going out again the next night — the behaviour every operator wants and nobody can buy.
Writing a review
Only from guests who actually checked in that night. Your reputation content, paid for by the platform.
Planning a night
Pinning where they're going — which is also what feeds your demand forecast.
Making a friend
A connection made on your floor, rewarded on both sides.
Bringing someone in
Both people earn on a referral, with a bonus every fifth friend. Your crowd recruits your crowd.
And what they spend them on
That is the whole loop: a guest earns coins for going out and coming back, and spends them on your door and your bar. Guests who run out can buy more, which means the loyalty budget behind your perks is not coming out of your till. The reward amounts are set centrally, so they keep working the same way in every venue and nobody has to run a scheme.
A room where people can actually meet is a room people stay in.
The dashboard is the half you see. The other half is what BeThere does to your floor: guests who walk in alone can see who else is there, send a pulse, and end up in a conversation instead of on their phone waiting for a friend who is running late.
Longer dwell time
People who connect with the room stay in it. Dwell time is the cheapest revenue you will ever add — you already paid for the door.
Reasons to come back
A connection made at your venue is attached to your venue. "My Venues" gives every guest a ranked history of where their nights actually happened.
Your name in their stories
When a guest shares the night they're planning, it goes out as a branded frame with your venue on it — to an audience that is already going out.
Three roles, and nobody sees more than their job needs.

Three steps, and your first night is already data.
Tell us about the venue
Name, city, what kind of room it is. We create the venue and hand you your QR code.
Put the QR where people are
The door, the bar, the tables. Guests scan and they're in — no download required, the web app opens straight away.
Add your team
We add your first manager; you add the rest. From the first night the dashboard starts filling with real numbers.
Straight answers
It's the venue side of BeThere. Anyone you register as staff opens it inside the BeThere app and sees your venue: who is checked in right now, your guest reviews, the passes on sale at the door — and, for managers and owners, 30-day analytics, guest demographics and a demand forecast for every upcoming night.
Neither. BeThere runs on a QR code at the door and the phones your team already carries. There is no terminal to install and no integration project to schedule.
Because guests tell us. "I Will Be There" lets someone pin the venue they're heading to, up to 90 days ahead, and their friends see it. Your dashboard shows the running count of people who have committed to each upcoming night. It is not a prediction — it is a count of stated intent, and it moves all week.
Only guests who actually checked in that night, and only once per night. Reviews carry vibe tags as well as stars, so you learn what the room felt like. Managers and owners can reply, and the reply appears under the review.
Four kinds: quick entrance (priority queue), free entry, a free drink, and a custom perk where you write your own title and description — VIP access, a table, early entry, anything you already give away. Each is priced in coins or free, and can be capped per night. Guests claim them in the app; your door scans the guest's QR code, or types the code by hand if a phone is being difficult. Sold and redeemed counts both land in your analytics.
Coins are the in-app currency. Guests earn them for going out — a first visit to a new venue, two nights in a row, a review, a plan, a referral — and buy more if they run out. They spend them on venue perks, on drinks for other guests, and on tips for your staff. Because guests earn coins from the platform rather than from you, the budget behind a coin-priced perk is not coming out of your till.
You don't have to build one — the coin rewards already pay guests for exactly the behaviour a loyalty card is meant to buy: +15 for trying a venue they've never been to, +25 for going out two nights in a row, +25 for leaving a review. On top of that you have your own levers: a perk only you offer, a nightly cap that makes it worth arriving early, and a push to everyone who came in the last 30 days.
You can push a message to guests who checked in within the last 1, 3, 7, 14 or 30 days, and you see the recipient count before you send. Every message is screened before it goes out, and guests control their own notifications — which is exactly why the channel is still worth opening.
No. Access is role-based: staff see their own tips and the door tools, managers add the live crowd, reviews and analytics, and only owners can create or retire passes.
Your venue in aggregate — visitor counts, return rate, age brackets, gender split — plus the reviews guests chose to publish. You don't get a list of individuals. BeThere is anonymous by default for guests and doesn't sell their data to anyone, which is the reason they trust it enough to be there at all. Read the privacy policy.
Send the form below and we'll come back within a day. Setting a venue up is a short conversation, a QR code and one manager account — your dashboard starts filling on the first night you put the code out.
